Reservations, Payment and Cancellations

Advanced Reservations

  • A non-refundable deposit equivalent to the first night’s stay  is due at the time of booking and may be charged up to the date of arrival, unless arrangements are made ahead of time directly with us.  The remainder of the balance can be paid in cash or by credit card on arrival
  • If your credit card is not accepted (invalid number/insufficient funds), your reservation will be cancelled.  We will attempt to contact you prior to cancellation of your reservation.
  • Cancellations and refunds are handled in the following manner if you’ve booked through this site:
    • Cancellations  received in writing (e-mail, confirmed  by us) with 7 days advanced notice or change in dates
      • No additional charges
  • Cancellations with 48 hours advanced notice:
    • 50% of the remaining balance will be charged
  • Cancellations within 48 hours of check-in or no-shows:
    • 100% of the remaining balance will be charged.

All Reservations

  • Sorry, no credit or refunds for unused room nights or services will be given.  This includes the case of a late arrival or early departure or cancellation due to inclement weather, loss of power, civil unrest, or road conditions.  Purchasing of travel insurance, such as Travel Guard, can be surprisingly affordable, and  help minimize these risks.
  • Check-out time is noon.  We need the time between noon and 3PM to ready the room for other guests.  If you are not around past checkout time, and no prior arrangements have been made, we reserve the right to a) remove your items from your room in order to prepare the room for the next guests, or b) charge you for an additional night’s stay.  We try for the least disruptive approach. If the room is available and we have your credit card information on file, you will be charged for the night.  If the room is not available and/or we do not have your credit card information on file, we will make an effort to call you, then remove items from your room.  We like happy guests, and are happy to help make arrangements with you ahead of time if you know you will not be able to return before checkout time.
  • In the event that Coffee Mountain Inn must cancel your reservation for events beyond our control, we will refund payments received, and this is the extent of our liability. We are not responsible for any incidental costs or damages, including travel expenses, alternative lodging,

Other Charges:  We reserve the right to charge guests for repair or replacement of damaged or lost/stolen property.

Liability: By booking a reservation, you agree to hold harmless Coffee Mountain Inn, owners, staff and other guests for any injury or damage – to persons or things – incurred on premises or as a result of your stay here. Resolution of disputes will be handled by independent arbitration and follow the laws of the Republic of Panama.
